What this notice covers

This notice explains how we handle information submitted through our website’s demo, trial, contact, support and privacy-request forms, and related correspondence. It applies to zeromileai.com and our temporary website used during development and launch.

Customer workspaces and deployments involving AI calls, recordings, transcripts, calendars, messaging or customer-supplied records require the relevant service terms, processing arrangements and deployment-specific notices. This website notice does not replace those arrangements.

Information we collect

Depending on the form, you may provide your name, email address, business or workspace name, country, phone number, industry and message. You may also provide information about your calling requirements, expected volumes, website, calendar, CRM or preferred services.

We keep request details such as the submission time, request type, reference number, consent selections and processing or notification status.

Hosting and email providers may process technical information, including IP addresses and delivery or security logs. Our form protection may use a temporary protected identifier for rate limiting; the website enquiry record does not store the raw IP address for that purpose.

Please do not include passwords, payment-card details, identity documents, patient records or other unnecessary sensitive information in a website enquiry.

How we use your information

We use your information to respond to your enquiry, discuss your requirements, arrange requested next steps, provide support, handle privacy requests, maintain appropriate records and protect the website against misuse.

Submitting an enquiry does not automatically subscribe you to unrelated marketing. Where separate permission or another applicable basis is required for marketing or a communication channel, we will obtain or establish it before using that channel. You can ask us to stop optional marketing communications.

How website requests are handled

When website intake is enabled, submissions are saved as private WordPress request records before notification emails are attempted. We may send an internal notification and an acknowledgement to the address you provide.

A confirmation reference means your request was recorded. It does not confirm email delivery, an appointment, trial activation or an AI callback.

Optional sales webhooks, external booking links and additional verification services are not currently configured for website intake. Support and privacy requests are not forwarded to a sales webhook by default.

Service providers and disclosures

Our website uses Hostinger hosting and email services, WordPress and the Easy WP SMTP plugin. Information may be processed by providers supporting hosting, email delivery, maintenance or security, as needed to operate these services.

Access to website request records is restricted to authorized administrators. We may also disclose information where required by applicable law or where necessary to address fraud, misuse or a security incident.

Providers may process information outside India. We do not represent that all website information remains exclusively in India. Additional integrations will require a review of their processing practices and an update to this notice where appropriate.

How long we keep information

We manually review unconverted website enquiries after six months without meaningful contact. We delete the active enquiry and related working correspondence unless there is a continuing business, support, security or legal reason to retain them.

This is a manual review process; the website theme does not automatically delete enquiries. Customer, contractual, support and legally required records may have different retention needs.

Backup copies and provider logs follow their applicable retention and deletion cycles and may not disappear immediately when an active record is deleted.

Your requests and choices

You can email hello@zeromileai.com to request access, correction or deletion, withdraw an optional permission, or raise a privacy complaint. Available rights and retention exceptions depend on applicable law and the information involved.

Please identify the relevant enquiry or business without sending passwords or identity documents in your first message. We may request proportionate information to verify your identity or authority before disclosing or changing records.

We aim to address privacy enquiries and grievances within one month, or sooner where required. If we need further information, we will explain what is needed; this does not alter any mandatory legal deadline.

Security

Our website includes restricted administrative access, form validation, anti-abuse measures and authenticated email sending. These measures reduce risk, but no website, email service or storage system can guarantee absolute security.

Cookies and external services

WordPress and hosting services may use cookies or similar technologies for login, security and website operation. Any additional analytics, advertising or embedded services require their actual use to be assessed and disclosed, with consent controls where applicable. This notice itself is not a cookie-consent tool.

Links to the client portal or other external services may lead to systems with separate processing practices and notices.

Children and sensitive information

Our website enquiry forms are intended for business enquiries, not for children to submit personal information or for collecting medical records.

Deployments involving children, patient information or other regulated data require a separate assessment and appropriate safeguards before activation.

We will update this notice when our operator details or relevant website processing practices change. The date above identifies the latest update. Where applicable law requires additional notice or a renewed choice, we will provide it.
